Do you have a reliable computer system?

A computer system that doesn’t run smoothly causes frustration for the users and can result in data corruption, lost time and therefore lost money. The importance of reliability should always be considered ahead of any requirements for performance, functionality or cost.

Do you have a disaster recovery plan?

Regular backups are only a small part of a disaster recovery plan. Have you ever tried to restore data from your backups to make sure your system is working? The worst time to discover that your backups haven’t been working is after a system failure. Do you keep a copy of your data off-site in case of fire or theft?

Do you have a reliable and up to date anti-virus solution?

It is essential to ensure that the antivirus program and definition files are up to date (and continuously monitoring file activity and emails) to provide the maximum protection possible against viruses. These updates should be performed on an hourly basis, 24/7.

Is Windows keep up to date with security patches and software updates?

Microsoft release critical updates in response to newly discovered (typically security based) flaws in the Windows Operating System (and Office software). These updates should occur automatically on a daily basis. Installing these updates ensures maximum protection against known vulnerabilities.

Are you protected from spam emails?

Quality anti-spam software can massively reduce the amount of spam your company will have to deal with. Surprisingly most companies receive a large amount of spam because their own web site advertises the company email addresses in plain text. A simple change to your web site will prevent spam-bots from extracting your companies email addresses and making them available to spammers.

Do you have protection from malware?

Many websites are designed to infect your computer with malware. The most dangerous risk of this type of infection is the ability for someone unauthorised to access your computer. Your keystrokes may also be recorded and sent to a remote party, this can make access to your internet bank account a breeze.

Can you access your email from anywhere in the world?

With more businesses depending on email communications it is often important to be able to stay in touch at any time of the day. It doesn’t matter whether you are in the next street or interstate or overseas, you can communicate just as you would from your office.

Can you access your data from anywhere in the world?

Imagine you are on a site visit and forgot to copy a needed document to your laptop, the office is unattended and your sale depends on it. Remote access to your office desktop computer and your data can be yours via the internet 24/7.

Are you having regular maintenance performed on your system?

Most updates, scans, backups and other regular functions can be scheduled to occur automatically. However, many businesses have only discovered that their automatic systems were not functioning when a problem has occurred that would have been avoided if these processes had been working. Regular testing to ensure these processes were fully operational would in many cases have saved an enormous amount of time and money.

Are you computers performing as fast as they can?

Incorrect BIOS settings, not enough ram, defragmented hard disks and large numbers of temporary files are just some of the things that can cause your computer to perform less than optimally. Checking and correcting these issues can result in a significant performance increase.

Is your firewall secure?

A firewall prevents outside parties from connecting to secured ports on your computer system. Sometimes ports are required to be open, if for example you are hosting your own email or web-site. All ports should initially be closed and only required ports should then be opened.

Are your staff prevented from wasting time browsing the web?

Access to web sites can be controlled and/or monitored to ensure that staff use the internet in accordance with company policy. Sites such as My Space and Facebook can be blocked entirely or allowed only during lunch hours. Chat programs such as MSN Messenger can be restricted in the same manner. Have you considered that 20 staff being paid $25/hr wasting one hour each per week costs your business $26,000 a year in lost productivity?

Do you have access to other user’s emails and other Outlook data?

A large amount of daily business is now conducted using email. Email boxes, task lists and calendars can be shared amongst users allowing an authorised person to read and send emails on behalf of another user. Appointments can be created for a manager by his or her assistant.
